Newsletter, Bulletin and Communications Information

Share Your News with TRUMC

We want to help your ministry communicate clearly and effectively while keeping our church family informed and connected.

If you have an announcement, event, ministry update, volunteer opportunity, article, or story to share, please email your completed information to renee@trumc.org.

Please submit information as early as possible and follow the deadlines listed below.

What to Include with Your Submission

Please make sure your submission is complete and ready for publication. Include:

  • Ministry or event name

  • Date and time

  • Location

  • Brief description

  • Intended audience

  • Registration or sign-up information

  • Contact person and contact information

  • Final photo or graphic, if available

  • Date the announcement should begin

  • Date the announcement should end

  • Communication channels you are requesting

Incomplete information may delay publication.

Communication Channels

Please indicate where you would like your information shared. Available communication channels may include:

  • Sunday worship bulletin

  • Weekly E-News

  • Monthly newsletter

  • Church website

  • Church master calendar

  • Worship slides

  • Social media

  • Realm

Placement will depend on available space, timing, relevance, and the communication needs of the church. Submitting an announcement does not guarantee placement in every requested communication channel.

Communication Deadlines

Sunday Worship Bulletin

Announcements for the Sunday worship bulletin must be submitted by Monday at 12 noon.

Information received after the deadline is not guaranteed to appear in that Sunday’s bulletin. When possible, late submissions may be included in a future bulletin or another appropriate communication channel.

Weekly E-News

Information for the Weekly E-News must be submitted by Wednesday at 12 noon.

The Weekly E-News is distributed on Friday afternoons and includes the upcoming Sunday’s Scripture, church announcements, activities, ministry opportunities, projects, and upcoming events.

Churchwide weather notices, bereavement notices, schedule changes, and other urgent information may also be distributed by email when appropriate.

Monthly Newsletter

Newsletter articles and updates must be submitted by 12 noon on the 18th of each month.

The monthly newsletter is generally mailed and shared electronically during the first week of the month. Some months may have combined editions or earlier deadlines because of holidays and seasonal schedules.

Early deadlines may apply around:

  • Thanksgiving

  • Christmas

  • New Year’s Day

  • Easter

  • Memorial Day

  • Independence Day

  • Labor Day

Items received after the deadline may be held for the following edition.

The monthly newsletter is best suited for:

  • Ministry stories and highlights

  • Longer articles

  • Member reflections

  • Mission and outreach updates

  • Upcoming programs and opportunities

  • Photos from recent church activities

Please contact Renee if you have questions about an upcoming newsletter deadline.

Website and Church Calendar

Requests for the church website or master calendar should be submitted at least two weeks before the event.

Please provide complete and confirmed information. Notify Renee promptly if an event is postponed, relocated, canceled, or otherwise changed.

Worship Slides

Requests for Sunday worship slides must be submitted by Monday at 12 noon.

Keep wording brief and include only the most important details. Photos or graphics should be clear, appropriate, and ready for use.

Social Media

Social media requests should be submitted at least one week before the desired publication date.

Please include the event details, preferred posting date, registration link, contact information, and approved photos or graphics.

Submitting a request does not guarantee a specific posting date. Social media content will be scheduled according to the church’s overall communication calendar.

Major Events and Churchwide Promotions

Communication requests for major events should be submitted four to six weeks before the event.

Early notice allows time to coordinate announcements across the bulletin, newsletter, Weekly E-News, website, calendar, worship slides, social media, Realm, and other appropriate channels.

Editing and Publication Guidelines

All submissions are subject to staff review and may be edited for:

  • Clarity

  • Length

  • Accuracy

  • Grammar

  • Consistency

  • Available space

  • Church communication standards

Staff may determine the most appropriate communication channel and publication schedule for each submission.

Please do not submit incomplete dates, unconfirmed event details, draft registration links, or graphics that have not received final ministry approval.

TRUMC may use text messaging to share timely information, including church updates, event reminders, schedule changes, closures, and emergency announcements.
